DSO training software: one LMS for every office and role

How dental support organizations onboard, refresh and test staff across every office, prove annual OSHA training by office and region, and where a content library still fits.

The best DSO training software gives every office one curriculum and shows proof of training by office, region and role. For groups that build their own programs, LMS Advisor is our top pick: offices and roles with manager views, SSO and SCIM, due-date assignments with overdue reports, expiring course certificates for annual OSHA refreshers and native proctored exams. It is not a content library or CE provider.

This guide is for clinical education directors, training leads and compliance and HR leaders at DSOs and emerging dental groups, from 10 offices to several hundred, including platforms folding in acquired practices. It covers the rules, content libraries versus platforms, office structure, the annual compliance cycle, testing, acquisitions and the main options. LMS Advisor is our platform. We have spent years building, fixing and migrating LMS platforms, so we point out where it is the wrong tool too. For the wider picture, start with our dental LMS overview.

What is DSO training software?

DSO training software is a learning platform that a dental support organization or dental group uses to onboard, refresh and test staff across many offices, with records you can split by office, region and role. That split is what separates it from a single-practice tool: when an inspection lands on one office, a group-wide completion rate answers nothing.

Group practice is where the need comes from. The ADA Health Policy Institute reports that 16% of US dentists were affiliated with a DSO in 2024, and that practice ownership fell from 84.7% in 2005 to 72.5% in 2023. Among newer dentists it is higher: ADA News reported that more than 1 in 4 dentists up to 10 years out of school were DSO-affiliated in 2024. Each acquisition adds an office with its own habits.

What does DSO training have to cover?

Onboarding by role: assistant, hygienist, front desk, office manager

Every role has a different first week. An assistant needs infection control, the sterilization flow and your instrument setups before working chairside. Hygienists need your charting conventions, and front desk staff need scheduling, insurance verification and privacy basics. Write each role as week 1, day 30, day 90 and yearly checkpoints before you open any software.

Annual bloodborne pathogens and infection control refreshers

OSHA has no dentistry-specific standards, so the bloodborne pathogens rule, 29 CFR 1910.1030, sets the calendar. Training is due "at the time of initial assignment to tasks where occupational exposure may take place" and "at least annually thereafter," each annual session within one year of the last, at no cost to the employee and during working hours. The CDC's Infection Prevention Checklist for Dental Settings asks for task-specific infection prevention training upon hire, annually and when new tasks or procedures change an employee's exposure, with one trained person coordinating the program. Our dental OSHA training requirements guide separates what is annual from what is not.

Hazard communication updates due in 2026

OSHA's January 15, 2026 final rule moved the revised Hazard Communication Standard dates. For substances, employers update workplace labels, the hazard communication program and training no later than November 20, 2026, and mixtures follow by May 19, 2028. One updated HazCom module can go to every office at once.

Clinical protocols and new technology rollouts

Intraoral scanners, aligner workflows, new sterilizers and changes to your own clinical protocols all need training that someone can fail. A video marked as watched does not show that an assistant can set up the scanner or run the sterilizer in the right order.

State differences you cannot flatten

A national curriculum still has to bend at state lines:

  • California. Business and Professions Code 1750 makes the employer responsible for an unlicensed dental assistant completing a board-approved eight-hour infection control course before any basic supportive procedure with exposure to blood or saliva, plus a two-hour Dental Practice Act course and current BLS within a year. The employer keeps evidence for the length of employment.
  • Texas. An assistant needs a Dental Assistant Radiology Certificate from the State Board of Dental Examiners before positioning or exposing x-rays.
  • New York. Dentists and dental hygienists complete infection control and barrier precautions training from an approved provider every four years and attest to it at registration.

An LMS can send the right course to the right office and hold your internal records. It cannot approve a course for a state board. The California course comes from a board-approved provider, and proof of it usually lives in your HR file. These rules keep changing, so check each board's current guidance.

Do you need a content library or a platform LMS?

What dental content vendors sell

Much of what ranks for DSO training is a content library with an LMS attached. As of September 2026, Dentlogics lists 200+ video training courses across OSHA, HIPAA, onboarding, insurance and billing and dental assisting, approved for AGD PACE credit, with a DSO tier that adds custom branding, custom authoring, learning paths, reporting and SSO. Group Dentistry Now Learning Hub offers 400+ training videos (per a post last updated January 2025), white-label branding and AGD PACE approved courses. Spear Education sells team membership with role-based modules and OSHA and HIPAA training with documentation, and is a nationally approved PACE provider. Smart Training pairs training and LMS tools with compliance consulting and a state-specific site audit.

When a library is enough

If your offices mainly need standard OSHA and HIPAA videos, CE credit for clinicians and a certificate per course, a library covers it with little setup. Smaller groups without an education team often start here, and that is a sound choice.

When you need your own curriculum, exams and data

Libraries teach generic content. They do not know your sterilization flow, your scanner model or how your best office runs a new-patient visit. Once you want to teach your own protocols, test competence before chairside work, hold the data yourself or run an assistant academy, you need a platform. The two combine well: Dentlogics and Group Dentistry Now both license courses in SCORM format, and SCORM packages play inside a platform LMS next to your own material.

What to look for in a dental group training platform

  • Office model. Regions, offices and roles as separate layers, with managers scoped to their own people.
  • Identity. Single sign-on and automated provisioning, and a way in for staff who have no company email.
  • Assignments. Due dates, mandatory flags and overdue reports you can read office by office.
  • Renewals. Certificates with a validity period that flag before they lapse.
  • Live sessions. Real-time sessions with attendance for the OSHA Q&A.
  • Testing. Question pools, image-based items and proctoring for high-stakes exams.
  • Portability. SCORM, xAPI and cmi5 for licensed content and imports from old systems.
  • Data. Exports, webhooks and an API, in the cloud or self-hosted.

How should a DSO structure 50 or 500 offices in an LMS?

Branches, organizations, groups and roles

In LMS Advisor we map a dental group in three layers. Branches hold regions or brands, so a DSO running two brands gets a branch for each. Organizations hold individual offices. Groups hold roles such as assistant, hygienist, front desk and office manager. Whether one role group can span every office, so the assistant curriculum goes out in one step, is a setup detail to confirm in a demo with your own structure. Roles and permissions decide who can author, grade or see reports. Our enterprise management page explains the permission model.

Manager views for office and regional managers

Manager views let an office manager follow their team's progress without admin access to the rest of the group. If a regional director needs several offices in one view, confirm in a demo how that scope is set, because it depends on how you map branches and organizations. The support center chases less when each manager checks their own people.

SSO, SCIM and phone login for staff without email

Link Entra ID, Okta or another identity provider through SAML 2.0 SSO and SCIM 2.0, and accounts open and close as your identity provider changes them. Many assistants and front desk staff never check a company inbox, so turn on phone login, which sends a one-time code over SMS or WhatsApp, or allow Google sign-in. Staff can also learn in the iOS and Android app, which signs in with a password or a one-time code, not SSO, and saves video, audio and document lessons for offline viewing if you allow downloads.

How do you run the annual compliance cycle across every office?

Course certificates with 12-month validity

Build the annual bloodborne pathogens and infection control refresher as a course and set its certificate validity to 12 months. The certificate shows as expiring soon in its final 30 days, you can switch on a certificate-expiring email automation (confirm in a demo who receives it), and retaking the course renews it. Exam certificates do not expire, so keep annual cycles on course certificates. The certificates and compliance page shows the settings.

Overdue reports by office

Assign the refresher to each office with a due date and the mandatory flag set. The overdue report lists who is behind and exports to CSV, Excel or PDF, and automations email people who never started or stalled. There are no reminder emails ahead of a due date, so plan a manager check-in two weeks out. Our compliance training page walks through the assignment cycle.

Live Q&A sessions that meet OSHA's trainer access rule

Click-through courses fail here. The standard requires "an opportunity for interactive questions and answers with the person conducting the training session" and says the trainer "shall be knowledgeable in the subject matter" as it relates to the workplace. In a 2008 interpretation letter, OSHA said employees in computer-based training "must have direct access to a qualified trainer at the time the training is being conducted." A voicemail box someone checks later does not meet that. A telephone hotline or other real-time communication can.

Pair the online module with a scheduled Zoom or Google Meet session led by your infection control coordinator, with attendance marked by hand, or by QR check-in if the team gathers in one room. Or staff a hotline during the training window. The AI Tutor answers questions from the course content between sessions, but it is not the knowledgeable person conducting the training that the standard describes, so do not count it toward that requirement.

Records OSHA expects for three years

Under 1910.1030(h)(2), bloodborne pathogens training records include the dates, a summary of the contents, the names and qualifications of the trainers, and the names and job titles of attendees, kept for 3 years. Exports give you dates, learners and completion status. Keep the trainer's qualifications and a content summary in a PDF lesson, and confirm in a demo how job titles appear in your export. Our training records retention table lists the other rules.

How do you prove competence, not just completion?

Question pools and image hotspot items

Draw each exam from a question pool larger than the exam, tag items by difficulty and use image hotspot questions where the skill is visual: click the error on a radiograph or the missing instrument on a tray setup. Essay and file-upload questions in the Test Center only screen and add nothing to the score, so build scored items from objective question types.

Proctored exams for high-stakes roles

For an internal lead assistant certification, or a readiness exam before a new clinical workflow goes live, turn on native proctoring for that exam: webcam snapshots at intervals, AI flags when no face or a second face appears, fullscreen lockdown, ID photo capture and a device and session lock, all set per exam.

Evidence trail for disputes

Each proctored attempt keeps an evidence trail of flagged events with timestamps and the snapshots behind them. When an employee disputes a failed attempt, a reviewer looks at that evidence. Treat a flag as a prompt to review, not a verdict.

How do you bring acquired offices onto one platform?

Importing old courses

Acquired practices arrive with a mix: SCORM packages from a previous vendor, a Moodle site, a WordPress LearnDash install and a binder. The platform takes SCORM 1.2 and 2004, xAPI and cmi5 packages, Moodle .mbz backups and LearnDash courses. Export completion history from the old system before its contract ends, and check whether licensed content can move under your agreement. Our LMS migration checklist covers the steps.

Day-one assignments for acquired teams

Create the office as an organization in the right branch, bring staff in through SSO and SCIM or phone login, and add them to role groups. Then assign onboarding and annual courses with due dates. Anyone whose last refresher you cannot prove should retake it, so the 12-month clock starts from a known date. Lesson translations let the same course run in English and Spanish.

LMS Advisor: best overall for DSOs that run their own curriculum. Office model, identity, assignments, expiring certificates, live sessions and proctored exams in one system. You bring the content and a CE partner.

Dental LMS: best for groups that want CE credit logged for them. It supports live webinars, on-demand video, podcasts and SCORM, and claims SSO and HR sync.

Done Desk: best for compliance tools with ready state tracks. It assigns courses to people at individual locations.

Dentlogics and Group Dentistry Now: best for a ready video library with PACE credit, and both license SCORM to feed a platform LMS.

Trainual: best for a single practice writing down SOPs. Its own list dated January 2, 2026 ranks Trainual first for dental practices. It says practices can track completion, score quizzes and collect e-signatures, but it is not an exam platform.

How to run DSO training in LMS Advisor

  1. Create branches for regions or brands, an organization per office and groups per role.
  2. Connect SAML SSO and SCIM, and turn on phone login for staff without company email.
  3. Record your best office's protocols in the Recording Studio and upload any SCORM courses you license.
  4. Assign each role's onboarding and annual courses with due dates and mandatory flags.
  5. Set 12-month validity on refresher certificates and switch on the certificate-expiring and never-started emails.
  6. Schedule live Q&A sessions in Zoom or Google Meet and record attendance.
  7. Build question pools, image hotspot items and a proctored exam in the Test Center for high-stakes roles.
  8. Send completions to HR or credentialing tools through CSV exports, webhooks or the REST API.

Book a demo and we will set up a three-office DSO with role paths, an annual refresher certificate cycle and a proctored clinical exam.

A 90-day rollout checklist for a dental group

Days 1 to 30.

  • List every role and the courses each needs in week 1, day 30, day 90 and yearly.
  • Map regions, offices and roles to branches, organizations and groups.
  • Connect SSO and SCIM or enable phone login.
  • Decide which content you author and which you license as SCORM.

Days 31 to 60.

  • Set 12-month validity on annual refresher course certificates.
  • Schedule live Q&A sessions with a knowledgeable trainer and record attendance.
  • Build question pools and a proctored exam for high-stakes clinical roles.

Days 61 to 90.

  • Agree the export or webhook route to HR and credentialing systems.
  • Keep bloodborne pathogens training records at least 3 years, or longer where state rules require.
  • Confirm who provides ADA CERP or AGD PACE credit where CE matters.

Where LMS Advisor is not the right fit

LMS Advisor has no dental content library and awards no CE credit, so pair it with a content vendor's SCORM courses and an ADA CERP or AGD PACE provider. ADA CERP recognizes providers, not software. It does not track outside licenses or DANB certificates, connects to practice management systems only through the REST API and webhooks, syncs HR data only from BambooHR, Zoho People, Keka or a CSV upload, and has no drag-and-drop report builder. The leaderboard is platform-wide, not per office, there is no white-label reselling, and learning paths cannot include exams. We hold no HIPAA or other third-party attestation, and your compliance team decides whether cloud or self-hosting fits your program. If you want CE credit logged automatically, Dental LMS is the closer fit, and a group that only needs OSHA and HIPAA videos can start with a library vendor.

Frequently asked questions

What is the best training software for a DSO?

LMS Advisor is our top pick for DSOs that run their own curriculum, because it combines office and role structure, SSO and SCIM, overdue reports, expiring course certificates and native proctored exams. LMS Advisor is our platform. Groups that mainly want ready videos with CE credit may prefer Dentlogics or Dental LMS.

Can one LMS handle different state requirements across our offices?

Yes, for assignments and internal records. Assign state-specific courses only to the offices that need them. Board-approved courses, such as California's eight-hour infection control course, still come from an approved provider.

Does LMS Advisor include OSHA and HIPAA courses for dental teams?

No. There is no course library. You author your own courses or license SCORM courses from a dental content vendor.

Can LMS Advisor award CE credit to our hygienists and dentists?

No. LMS Advisor is not a recognized ADA CERP or AGD PACE provider and has no CE-credit ledger. A recognized provider awards credit, and our exports can supply its completion data.

How do we prove annual bloodborne pathogens training in every office?

Assign a refresher with a due date to each office, give its certificate 12-month validity and pair it with a live Q&A session with attendance. Overdue reports and exports then show who completed it and when. Keep the records at least 3 years.

Can office managers see only their own team?

Manager views show a manager their own people's progress without admin rights to the rest of the group. How far a regional director's view reaches across offices depends on your branch and organization setup, so confirm it in a demo.

Can we self-host LMS Advisor for data control?

Yes. You can host it yourself, even on ordinary VPS hosting, or use our cloud, and self-hosted installs include in-app backups and migrations. Self-hosting keeps training data on your infrastructure, but it is not a HIPAA attestation.
