Map the business before you build courses
The pattern that works well: one organization per store, with the store manager as its manager and staff as members. If district managers need their own admin view, create a branch per region and put those stores’ people in it. Branch-scoped roles see only their region, while head office admins see everything. Departments inside a store (tills, stockroom, beauty counter) let you assign different courses to different roles on the same team.
Get people in quickly
If your stores use company identities, connect SAML SSO and SCIM. Many store teams do not, so the simpler routes matter more. Store managers add or import learners from their own manager portal, and assigning a course to the store enrolls everyone in it. Staff sign in with a one-time code, then add the web app to their home screen.
Design for fifteen minutes
Break onboarding into lessons of five to ten minutes. A module on the returns policy might open with a short video, move to a drag-and-drop exercise matching receipts to refund methods, and end with a two-question knowledge check marked required. Drip days let week-two lessons open on day eight, so a new starter is not facing twenty lessons on day one. For launches, have a visual merchandiser record the new display in the Recording Studio, then add timestamped questions with interactive video.
A seasonal intake without the scramble
Build a seasonal starter path once: welcome, safety and fire exits, tills and payments, returns, age-restricted sales, and a final quiz. Assign it to each store as temps join, due a few days before their first solo shift. The no-progress rule chases anyone who has not opened it. After the season, the inactive-account retention rule can anonymize temp accounts with no recent logins while keeping anonymous completion records.
Where AI helps, and where it does not
AI course generation can turn a supplier’s product fact sheet into a first-draft lesson and quiz. Drafts are never published automatically, and someone who knows the product should check prices, claims and compliance wording first. You can also switch AI off.
