Built-in Editor with AI

A rich text editor built into the LMS, with AI on the toolbar

Write lessons, quiz explanations, emails and help articles in the same editor. Import a Word file, drop in images, build tables, and ask AI to rewrite, translate or lay out a page without leaving the screen.

At a glance

  • AI menu on the toolbar
  • Templates for common blocks
  • Tables that keep their shape
  • Images, video and embeds
  • Word, Markdown, HTML and PDF

Most of the text in a training platform is not in the interactive modules. It is the lesson notes, the quiz explanations, the welcome email, the course description and the help article someone writes on a Friday afternoon. When that text lives in a generic editor bolted onto the LMS, authors fight it: pasted Word documents bring their fonts along, tables lose their borders, and pictures end up as huge blocks of code inside the page.

We built our own editor for LMS Advisor and use it on every rich text field in the product. It knows where lesson images belong, it cleans what you paste, and its AI menu runs on the provider your admin already set up. No third-party editor is loaded from anywhere.

The problem

Why writing inside an LMS gets in the way

Pasting from Word breaks the page

Fonts, colors and odd spacing come across with the text, and cleaning up takes longer than writing did.

A different editor on every screen

Lessons, quizzes, emails and help pages each behave a little differently, so authors relearn the basics every time they switch.

AI in a separate tab

Authors copy text into a chatbot, copy the answer back and lose the formatting on the way, with no record of which provider saw the content.

Tables and media that fall apart

Merged cells vanish, embedded videos break, and a picture pasted into a lesson makes the page too heavy to open on a phone.

Capabilities

One editor, everywhere you write

The LMS Advisor editor sits on lessons, course descriptions, quizzes and exams, forms, the knowledge base, legal pages, email templates, announcements and learning paths. Authors learn one toolbar, and every field cleans and stores content the same way.

AI menu on the toolbar

Write with AI, rewrite for tone and length, fix grammar and spelling, translate, turn plain text into a laid-out page, or get an SEO or accessibility review.

Templates for common blocks

Insert learning objectives, key takeaways, step-by-step instructions, tips, warnings, an FAQ, a glossary and more from 13 ready-made templates, or save your own for the team.

Tables that keep their shape

Insert a table from a grid, merge and split cells, add a header row or stripes, and move between cells with Tab.

Images, video and embeds

Paste, drop or upload pictures, then resize, crop, align and caption them. YouTube, Vimeo and Loom links become players, and https embed codes run in a sandboxed frame.

Word, Markdown, HTML and PDF

Import a Word file, Markdown, HTML or the text of a PDF, and export to Word, Markdown, a standalone HTML page or PDF. Conversion happens in your browser.

Autosave and full undo

Drafts are kept in the browser for each field and offered back after a crash or a closed tab, and undo covers every change, tables and formatting included.

In depth

How the editor handles your content

A toolbar that stays out of the way

The toolbar runs from undo and redo through paragraph style, font, bold, italic and underline, colors, alignment, lists, links, images, tables and media, followed by the Insert and AI menus, HTML view, full screen and More. On a phone it becomes one row you swipe sideways. Typing a hyphen, a number with a full stop, a pair of square brackets, a hash or a greater-than sign followed by a space starts a bullet list, a numbered list, a checklist, a heading or a quote, so fast writers rarely reach for the mouse. Find and replace, an accessibility check and the keyboard shortcuts sit under More.

AI that works on your text, under your settings

The AI menu uses the provider and key set in Settings, AI Integration, so it follows the same switch as every other AI tool in LMS Advisor. It writes a first draft, rewrites a passage in another tone or length, fixes grammar and spelling, translates (it remembers your last language and handles right-to-left scripts), builds an HTML component from a description, lays out plain text as a designed page, reviews a page for SEO or accessibility, and explains a code sample. Your text goes to the model as material to work on, and whatever comes back is cleaned exactly like typed content. Calls appear on the AI Usage page under their own feature name, and the AI menu and templates are for staff only.

Clean content by default

Paste from Word or a web page and the editor keeps the structure (headings, lists, bold, links, tables) and drops the clutter. Authors who want full control can open the HTML view and edit the markup and inline styles directly. Scripts and event handlers are removed when you save, in the browser and again on the server, so a pasted snippet cannot run code for your learners. Pictures in lessons go to the Media Library, which keeps lesson pages light.

Import and export without a converter service

Under More, Import brings in a Word .docx with its headings, lists, formatting, links, tables with merged cells and images, a Markdown file with tables, checklists and code blocks, an HTML file, or the headings, paragraphs and lists of a PDF. Export writes a real .docx, a Markdown file, a styled standalone HTML page, or a PDF through the browser’s print dialog. All of it runs in the browser, so your content is never sent to an outside conversion service.

Code, links and long lessons

Code blocks take a language, and learners see colored syntax with a Copy button. More, Links in this content lists every link on one screen for a last check before you publish. Full screen gives you a distraction-free view for long lessons. The exam essay box uses the same editor with AI and templates switched off, and it blocks paste while an exam is locked down.

Workflow

From a blank lesson to a finished page

Open any text field

Edit a lesson, a quiz question, an email template or a help article. The editor is already there.

Start from a template or a file

Insert a ready-made block, or import the Word or Markdown file the subject expert sent you.

Write and refine

Format with the toolbar or the typing shortcuts, and use the AI menu to tighten, translate or lay out the page.

Check before publishing

Run the accessibility check, review every link in one list, and open the HTML view if you want to see the markup.

Save and reuse

Save the content, keep a favorite block as a team template, or export the page to Word or PDF for a reviewer.

Use cases

Who writes in it every day

Turning a procedure into a lesson

A quality manager sends a Word procedure. The course author imports it, keeps the numbered steps and tables, adds a warning block above the risky step and publishes it as a lesson.

One lesson in two languages

A trainer writes the English lesson, uses Translate for the Spanish version and reads it through before saving it as the lesson’s language version.

Branded emails without HTML skills

An admin edits the enrollment and reminder email templates in the same editor, with a set of tools made for email clients.

A help center that stays tidy

Support staff write knowledge base articles with tables, screenshots and code samples, and use find and replace when a menu name changes.

Benefits

What authors get back

  • AI writing help on the provider your admin approved
  • Word and Markdown content brought in without the clean-up
  • Pasted code that never runs for learners
  • Drafts that survive a closed tab
FAQ

Questions about the editor

Which parts of LMS Advisor use the editor?
Every rich text field. That covers lessons and lesson notes, course descriptions, quiz and exam questions and explanations, forms and assessments, the knowledge base, legal pages, the welcome page, email templates, announcements, learning paths and the exam essay answer.
Can we import a Word document?
Yes. Choose Import under More and the headings, lists, bold, italic and underline, links, tables (merged cells included) and images come across. On lesson screens the images are uploaded to the Media Library.
What can we export to?
Word (.docx), Markdown, a styled standalone HTML page, and PDF through the browser’s print dialog. Export runs in the browser, so nothing is uploaded to a conversion service.
Which AI provider does the AI menu use?
The one chosen in Settings, AI Integration, Anthropic or OpenAI. When AI is switched off there, the AI menu is off too, and editor calls are listed on the AI Usage page under their own feature name.
Do learners see the AI tools?
No. The AI menu and templates are for staff. Learners writing an exam essay get a plain editor, and paste is blocked while the exam is locked down.
Can we save our own templates?
Yes. Save any block as a template and share it with the team or keep it private. Only its author or an admin can delete it.
Is pasted HTML safe?
Yes. Scripts and event handlers are removed when the content is saved, in the browser and again on the server. Embed codes from https sources are kept inside a sandboxed frame.
