Modeling franchisees, locations and field coaches
Organizations for franchisees, branches for stores
The cleanest setup we have seen treats the franchisee business as the unit of accountability. Create an organization for each franchisee, whether they run one store or six. Give the owner or their general manager the manager role inside that organization. Then, if you need location-level separation, create a branch for each store under the organization, with the store code, address and logo on the branch record.
Organization managers work from their own portal. Depending on the permissions you grant each one, they can add existing learners, create new learner accounts, paste in a list of email addresses to import a whole crew, remove leavers and switch assigned courses on or off for individual staff. They never see another franchisee’s people. Every member counts against the organization’s seat limit, which is useful if your franchise agreement bundles a set number of training seats per store.
Rolling out a standard change
Say the menu changes on the first of the month and every store needs the new allergen procedure. Build a short course: a two-minute interactive video showing the prep line, a flip-card module with the allergen matrix, and a five-question quiz with a pass mark. Assign it to every franchisee organization as mandatory with a due date. The organization report then shows each person’s status and flags anyone overdue, and you can export it per franchisee before your next ops call.
Lessons can be gated so a crew member cannot skip ahead to the quiz, and you can set a minimum time on a lesson if people are clicking through videos without watching them.
Field coaches and area managers
Area coaches usually look after a handful of stores across several franchisees. Put the store managers they coach into a group with the coach as group manager, and the group report becomes the coach’s pre-visit checklist. When a coach runs an in-store session, they can open an attendance session and have the crew check in with a QR code.
New owners and general managers
Owner and GM certification is usually heavier than crew training. A learning path can run brand history, operations standards, food safety, people management and a final exam in order, with a certificate that expires and a reminder rule 30 days before it does. If the final exam matters enough to proctor, run it through the Exams module with webcam snapshots and fullscreen lockdown.

Create a branch for the new location with its store code and address, so its staff and records stay together.
Certify the owner and GM

The owner pastes in the crew’s emails from the portal. Mandatory brand courses are already assigned with a due date.
Watch the first month
