Certificate management that holds up at audit time
Certificates with expiry dates and a verification link that survives renewal, mandatory training with due dates, and the privacy and retention tools your data protection lead will ask about.

Certificates are where training records meet the outside world. A regulator asks who is currently certified, an employer wants to check a certificate a candidate emailed over, and your own staff need a reminder before their forklift or data protection refresher lapses. LMS Advisor covers those three jobs with a designer, an expiry and renewal cycle, and a public verification page.
The compliance tools cover your organization as the operator of the platform: a privacy request queue with a 45-day clock, retention rules that purge sensitive data on a schedule, audit logs and a Compliance Center checklist. These help you meet your obligations. They are not a certification of LMS Advisor, and we will not pretend otherwise.
Where certification records break down
Expiry dates in a spreadsheet
Recertification dates live in someone’s workbook, and the first sign of a lapse is an inspector asking for proof.
Certificates nobody can check
A PDF is easy to edit. Employers and auditors have no quick way to confirm it is real and still in date.
Renewals that break old links
Reissuing often creates a brand new record, so the link on a résumé or LinkedIn profile stops working.
Privacy requests on a legal clock
Access and deletion requests arrive by email with no tracking while the statutory response window keeps running.
Certificates plus the compliance paperwork
Certificates are set per course and per exam. Privacy, retention and audit tools apply across the whole platform.
Certificate Designer
Lay out text, images and lines on a canvas in either orientation, with your fonts, colors and background, using fields such as learner name and verification URL.
Automatic issue
Certificates issue on course completion, or when an exam score reaches the threshold you set, using the template chosen for that course or exam.
Validity and renewal
Give a course a validity period in months. Learners renew by completing it again, and the certificate keeps its ID and link.
Public verification
Anyone with the link sees who holds the certificate, when it was issued and whether it is valid or expired. An API check is available too.
Mandatory training with due dates
Assign courses to an organization as mandatory with a due date, then track each learner as completed, in progress or overdue.
Privacy, retention and audit
A request queue with a 45-day deadline, scheduled purges of sensitive data, audit logs and a Compliance Center checklist.
How issue, expiry and renewal work
Designing and issuing
The Certificate Designer is a canvas. Add text, placeholder fields, images and lines, set font, size, color, weight and alignment on each element, and choose a background color or image. Fields include learner name, course title, completion date, duration, organization and department, signer name and title, certificate ID and the verification URL. Keep as many templates as you need, set one as the default, and choose a template per course or per exam. Learners can download the certificate as a PDF, print it or share its verification link.
Expiry, reminders and renewal
Set a validity period on the course, say 12 months for an annual safety refresher, and each certificate gets an expiry date when it is issued. Status reads valid, expiring soon (30 days or less) or expired, and the admin list puts the soonest expiry first. A “certificate expiring” email automation rule sends a reminder a chosen number of days before the date. The learner starts a renewal, completes the course again, and the certificate is reissued with new dates, the same ID and the same verification link, with the renewal counted. Old links on résumés and profiles keep working.
Exam certificates
In the Exams module, switch on certificates for an exam and set a minimum score, or leave it at 0 to use the pass mark. Candidates who reach it receive a certificate from the template you chose, verifiable at the same public address as course certificates.
Privacy requests and retention
Learners submit access, portability, correction, deletion or opt-out requests from their profile. Each request gets a due date 45 days out, matching the CCPA response window, and admins work the queue using the built-in export and anonymization tools. Retention settings purge audit logs, session history, analytics, sent email, read notifications, proctoring snapshots, exam audio and AI tutor chats after the number of days you choose, and every run is written to the audit log. Enrollments, attempts, grades and certificates are deliberately outside these purges, because regulated training records have to be kept. Inactive-account anonymization strips personal data but keeps the completion record.
The Compliance Center
This is a checklist of 22 obligations that commonly apply to anyone running a training platform, mostly US law plus GDPR and UK GDPR: terms and privacy policy, CAN-SPAM, ADA and Section 508, CCPA, COPPA, FERPA, HIPAA, 21 CFR Part 11, SOC 2 and more. Each item explains the requirement, notes what the platform already provides, and takes a status and your notes. It organizes the work. It certifies nothing.

From assignment to verified certificate
Design the template
Build the certificate once, then set it as the default or attach it to specific courses and exams.
Assign the training
Enroll learners directly, or assign the course to an organization as mandatory with a due date.
Make completion mean something
Use sequential progression, required knowledge checks and a pass mark before a certificate can issue.
Issue and verify
Certificates issue automatically with an expiry date and a public verification link.
Remind and renew
Automation emails learners ahead of expiry, and renewal keeps the same certificate ID and link.
Who relies on this
Annual safety and conduct refreshers
A manufacturer sets 12-month validity on forklift and harassment-prevention courses and sends reminders a month before each certificate expires.
Credentials after a proctored exam
A professional association issues certificates only to candidates who reach its set score on a proctored exam, and employers check them on the verification page.
Compliance reports for clients
A training provider assigns mandatory courses with due dates to each client organization and sends every client its compliance CSV at quarter end.
Privacy operations
A data protection lead works access and deletion requests from one queue ordered by due date, and sets a short retention period for proctoring images.
