An LMS you can buy once and run on your own server
LMS Advisor is available on a one-time license for self-hosted installs: a single payment for the application, quoted on learner numbers and modules, with support and updates set out in writing. The alternative, a subscription in our cloud or on your server, stays open too.
Quoted per organization. Whether updates and support are included, and for how long, is written into the quote.
- No recurring platform feePay for the software once. Hosting is yours, so there is no per-learner cloud bill.
- Capital budget friendlyA one-off purchase fits grant, donor and public-sector budgets that cannot carry subscriptions.
- Same product, every featureExams, proctoring, SSO, SCIM, mobile apps and AI tools are all in the licensed application.
What the one-time license covers
- The full LMS Advisor application for one self-hosted install
- Quoted on learner numbers and the modules you need
- Updates and support terms written into the quote
- Custom features built on the platform can include their source code
- No requirement to use our cloud, ever
Organizations that prefer one payment to many
A one-time license suits buyers whose money arrives once, or whose program will run for years.
One-time license or subscription
Both are real options for a self-hosted install, and the subscription is the only option in our cloud. The right one depends on how long you will run the platform and how your money arrives.
One-time license, self-hosted
A single payment for the application on your own server. Hosting, patching and backups are your team’s job, as with any self-hosted software.
- One payment, quoted on learner numbers and modules
- No recurring platform fee after that
- Updates and support for the period written in the quote, renewable separately
- Best value for programs that will run for years
- Needs a team that can look after a server
Subscription, cloud or self-hosted
A recurring fee that includes updates and support for as long as you subscribe. In our cloud it also includes hosting, backups and the servers.
- Smaller first invoice, predictable yearly cost
- Updates and support included while the subscription runs
- In the cloud, no server for your team to maintain
- Easier to stop if the program is short or uncertain
- Cost grows with learner numbers over time
Not sure which fits? Bring your learner numbers and how many years the program will run to the demo. We will price both and say which we would pick in your position.
From quote to a licensed install
Scope the install
Tell us the learner numbers, the modules you need (for example the exam center, proctoring, HR sync, the mobile apps) and whether any custom features are wanted. The quote is built on those.
Agree updates and support
The quote states what is included after purchase: the support period, how updates are delivered and what a renewal of support costs. Nothing is left to assumption.
Install on your server
Your team provisions a PHP and MySQL server, or we guide the install. The application is the same one that runs in our cloud, with the self-hosted tooling for migrations and backups.
Move content and people in
Import Moodle or LearnDash courses, upload SCORM, xAPI and cmi5 packages, connect SSO or SCIM, and sync people from BambooHR, Zoho People or Keka, or by CSV.
Run it for as long as you like
The license does not expire. Renew support when you want help and updates, and skip it when you do not. Moving to our cloud later remains possible.
How LMS licensing usually works
What we found on vendor pricing pages in October 2026. Vendors change terms, so treat the right-hand column as questions to ask, not a verdict.
| What to check | LMS Advisor | Typical LMS vendors |
|---|---|---|
| One-time purchase available? | Yes, for a self-hosted install. A subscription is also available. | None of the commercial vendors we checked (Docebo, Absorb, TalentLMS, iSpring, Tovuti, LearnWorlds) offers one. Open-source software has no license fee but has to be run and maintained by you. |
| Minimum term | None on a one-time license. Support renewals are optional. | Docebo states a one-year minimum and says most customers sign for three to five years. Tovuti starts at a yearly plan for the first 100 learners. |
| What grows the bill | Nothing after purchase except your own hosting. More learners cost only server capacity. | Per-user or per-active-user pricing, so the bill rises with headcount. |
| Proctoring cost | Included. Proctoring is part of the exam settings, with no per-attempt fee. | Usually a separate proctoring vendor with its own subscription or per-exam charge. |
| Where it runs | Your server. Our cloud is available on subscription. | The vendor’s cloud. Self-hosting is rare outside open-source products. |
| What you give up | No built-in checkout, no content library, no report builder. Your team runs the server. | Content libraries and checkouts are common. Ongoing fees are the price of them. |

What a one-time license does not change
Paying once changes the money, not the software or the work of running it.
You still run the server
A one-time license is for self-hosted installs. Hosting, patches, backups and cron jobs are your team’s responsibility, as our <a href="/self-hosted-lms/">self-hosted LMS page</a> explains.
Updates are not automatically forever
The quote says how long updates and support are included. After that period, renew support or keep running the version you have.
Our cloud stays subscription only
Hosting has a running cost, so the cloud route is priced as a subscription. The one-time license applies to installs on your own server.
The product limits still apply
No built-in checkout, no content library, no drag-and-drop report builder, and proctored exams on a computer rather than in the app, whichever way you pay.
Why most LMS vendors will not sell you a license
Subscription revenue is easier to forecast and grows with your headcount, so the commercial LMS market moved to it almost entirely. Of the vendor pricing pages we read in October 2026, none offered a one-time purchase. Docebo’s pricing FAQ states a one-year minimum and says most customers sign for three to five years. Tovuti’s plan starts as a yearly fee for the first 100 learners. TalentLMS, iSpring and LearnWorlds publish monthly or yearly plans. The only way to avoid a subscription has been open-source software, which costs nothing to license and a good deal to run.
We sell both. Our cloud is a subscription because hosting costs us money every month. A self-hosted install can be a subscription or a one-time license, because once the software is on your server our running cost is support, and support can be priced on its own.
What you are buying
The one-time license covers the LMS Advisor application for one self-hosted install: the course authoring tools and module studio, the exam center with native proctoring, certificates, learning paths, gamification, the organization and manager structure, SAML SSO and SCIM, the HR and CRM connectors, webhooks and the REST API, the mobile app connection and the AI tools (which use your own Anthropic or OpenAI key). The modules you need and your learner numbers set the price.
The quote also states the support and update period. We would rather write it down than have you assume. Typical questions it answers: how long updates are included, how they are delivered, what a support renewal costs and what happens to custom work. If a custom feature is built on the platform for you, its source code can be delivered on your server under the same agreement.
When a one-time license is the better deal
Work it out over the life of the program rather than the first year. A subscription has the smaller first invoice. A one-time license has the smaller total once the program runs long enough, and the crossover comes sooner when learner numbers are large, because the subscription grows with them and the license does not.
The buyers who come out ahead most often are the ones whose money arrives once: a grant, a capital budget, a project fund. An NGO that wins funding for a two-year training program can buy the platform with it and keep running the platform after the funding ends. A public body can approve an asset purchase where it could not approve an open-ended subscription. A training provider can stop watching its margin shrink with every enrollment.
When a subscription is the better deal
Choose the subscription when the program is short or uncertain, when the team has no one to run a server, or when you want updates and support rolled into one predictable fee. Our cloud subscription also removes the hosting work entirely, which for a small team is worth more than the saving from a license.
There is also a middle route: start in the cloud on a subscription, prove the program, then move to a self-hosted install on a one-time license once you know it will run for years. Courses, modules and question banks export and import between installs. We will tell you before you sign what moving learner history involves.
The honest comparison with open source
An open-source LMS such as Moodle has no license fee, and for an organization with developers who want to own and change the code it remains a reasonable choice. Our LMS Advisor vs Moodle page sets the two side by side. The difference a one-time license buys is a maintained commercial product with exams, proctoring, SSO, SCIM and the connectors in the core, updates applied from the admin area, and a vendor to call. The difference you pay for is the license. Whether that trade is worth it depends on what your team’s time costs, and our free LMS guide has a calculator for exactly that sum.
