Medical device training software for QMS, reps and customers
How device makers split QMS training under QMSR and ISO 13485 from rep certification and hospital customer education, and which records belong in which system.
The best medical device training software splits the work in two. For product education, rep certification and hospital customer training, LMS Advisor is our top pick: proctored certification exams, an organization for each hospital or distributor inside your site, and course certificates that expire and can be checked online. Keep controlled QMS training records in your eQMS, or validate your own use of an LMS.
This guide is for quality and training managers at small and mid-size device makers, commercial and clinical education leads, and the customer education and service teams who teach hospitals and distributors. LMS Advisor is our platform, so we are specific about where it fits and where an eQMS training module is the better home. We have spent years building, fixing and migrating LMS platforms, and device companies nearly always ask whether one system can do all of it. Usually not, and that is fine. For the wider picture across drug makers, CDMOs and biotech, start with our pharmaceutical and life sciences LMS guide.
What training does a medical device company actually run?
Medical device training software is any platform a device maker uses to build, deliver, test and record training for three audiences: employees whose work affects product quality, reps and clinical specialists who support procedures, and the hospitals, distributors and service engineers who use or maintain the device. Each has a different owner, rule set and idea of what a record is.
QMS training under QMSR and ISO 13485
Production, quality, engineering and complaint handling staff train on procedures and work instructions. These are QMS records, and FDA investigators and notified body auditors expect competence defined per role, effectiveness checked and evidence kept under control.
Rep, clinical specialist and service engineer training
Commercial and clinical teams need product knowledge, procedure steps, troubleshooting and code of ethics training before they stand in an operating room. Those records matter to compliance and sales leadership and usually sit outside the controlled QMS.
Customer and distributor education on safe device use
Hospital staff, biomedical engineers and distributor teams need in-service training on setup, use, cleaning and basic fault finding. This is extended enterprise work: many outside organizations, people without your email domain, and certificates the customer wants to see. Our extended enterprise training page covers the operating model.
Decide early which system owns which track.
What did QMSR change for device training on February 2, 2026?
FDA's Quality Management System Regulation page says the amended Part 820 "is effective February 2, 2026, and is now titled Quality Management System Regulation (QMSR)." It incorporates ISO 13485:2016 by reference and "harmonizes the FDA's CGMP regulatory framework with that used by other regulatory authorities." On the same date FDA began inspecting under the updated Compliance Program 7382.850 and retired the older QSIT-era program, 7382.845.
Part 820 no longer has its own training section
The old quality system regulation had 820.25. Its paragraph (b) required procedures "for identifying training needs," training so that personnel could adequately perform their assigned responsibilities, and closed with four words: "Training shall be documented." That section is gone. Under 21 CFR 820.10, a manufacturer must "Document a quality management system that complies with the applicable requirements of ISO 13485 and other applicable requirements of this part." Training now comes through the standard.
Competence, effectiveness and awareness under clause 6.2
In the QMSR final rule preamble, FDA answers a comment about the people who run process validation (former 820.75(b)(1)). It says it "considers Clause 6.2 of ISO 13485 to capture the intent" of that requirement, lists contractors and consultants among the people who must be competent, and adds: "All education, training, skills, and experience of employees need to be carefully recorded."
In plain terms, and paraphrasing the standard rather than quoting it, clause 6.2 asks you to:
- Decide what competence each role that affects product quality needs, based on education, training, skills and experience.
- Provide training, or take other action, to close gaps.
- Check whether that training worked, with the depth of the check matched to the risk of the work.
- Make people aware of how their work affects quality objectives.
- Keep records of education, training, skills and experience.
Kelsey Quality's 820.25 to clause 6.2 crosswalk and Greenlight Guru's summary of clause 6.2 lay out the differences in detail. Check the wording against your licensed copy of ISO 13485 before you write procedures. The practical shift is the effectiveness check: a read-and-understand form shows someone opened a procedure, while a scored knowledge check or supervised demonstration says whether they can do the work.
Training records FDA can review
FDA's QMSR frequently asked questions say investigators may review "records that are part of the manufacturer's QMS, including those created before February 2, 2026." FDA "will not require certificates of conformance to ISO 13485," and a certificate "will not exempt a manufacturer from an FDA inspection." If your training history was split across spreadsheets and an old LMS before the switch, it is still in scope. We go deeper on the changes in QMSR training requirements for device makers.
Does ISO 13485 require you to validate your LMS?
Yes, if the LMS holds QMS records. Clause 4.1.6 of ISO 13485:2016, paraphrased, requires a documented procedure for validating the application of computer software used in the quality management system. That software must be validated before first use and, where appropriate, after changes to the software or to how you use it. The approach should be proportionate to the risk of that use, and you keep records of the work. Greenlight Guru's article on QMS software validation explains the clause. Because the QMSR incorporates the standard, that requirement is now enforceable in the US.
Validation proportionate to risk
You validate your intended use, not the vendor's feature list. An LMS that only teaches reps carries far less risk than one holding the sole record that an assembler learned a revised work instruction.
What FDA's Computer Software Assurance guidance adds
FDA's final guidance Computer Software Assurance for Production and Quality System Software, issued in September 2025, gives risk-based recommendations for "computers and automated data processing systems used as part of medical device production or the quality system." For a training system, focus testing on the functions that decide whether a record is correct: assignment, completion, scoring and export.
Where controlled records should live
We do not sell a validation package, do not market our platform as Part 11 compliant and do not apply electronic signatures to training records. So our advice is plain. Keep controlled QMS training records, signed acknowledgments and document-driven retraining in your eQMS training module. Use our LMS for the teaching, the scored checks and the exams, then export results or push them by webhook to the eQMS that holds the record. If you do hold QMS records there, your QA team owns the validation of that use. Self-hosting helps, because you decide when an update is applied and can re-test around it. Our GxP training software guide covers the same split for drug makers.
What should you look for in medical device training software?
We use these criteria when reviewing options, including our own:
- Audience separation. Employees, reps, each distributor and each hospital customer kept apart, with their own admins and reports.
- Device demonstrations. Video with questions at the right moment, screen and camera recording, and hotspot questions on real component images.
- Secure certification exams. Question pools, pass marks and proctoring for rep and service engineer sign-offs.
- Expiry and verification. Certificates with validity periods for re-training, and a way for a hospital to check one without calling you.
- Record routing. An API and webhooks to send completions to the system of record.
- Access for outsiders. Sign-in for people who will never be in your identity provider.
- Validation fit. An honest statement of what the vendor does and does not validate.
How should reps and clinical specialists be trained and certified?
Launch and procedure courses built on video
Device training is visual. Our interactive video adds timestamped questions, chapters and overlay notes to an MP4 or WebM, and a wrong answer can send the rep back to rewatch the step. Recording Studio captures camera, screen, or both, plus a whiteboard, so a clinical specialist can record a setup walkthrough and save it straight to the Media Library for reuse across courses.
Proctored certification before a rep covers cases
A rep who will support a procedure should pass a real exam first. The Test Center runs standalone exams with question pools, difficulty levels and negative marking. Image hotspot questions ask the candidate to click the right port, latch or indicator on a photo of the device. Native proctoring, configured per exam, adds webcam snapshots with AI face monitoring, ID photo capture, fullscreen lockdown, device and session lock, screen snapshots and virtual machine detection, and snapshots and flagged events go into an evidence trail a reviewer can check. The certificate issues automatically on a pass.
Recertification with expiring course certificates
Exam certificates can carry a validity, but renewal by retake is a course feature. For course certificates, set validity in months, and the certificate shows "expiring soon" 30 days before it lapses, an email rule can fire, and the rep renews by retaking the course. So put annual refreshers and label or IFU changes in a course with a scored quiz and a 12-month certificate, and keep the proctored exam for initial certification or a new product.
AdvaMed Code training
On October 6, 2025, AdvaMed announced that its board had unanimously approved revisions to its Code of Ethics, effective November 1, 2025. The AdvaMed compliance and ethics pages urge companies to keep their people "trained with the latest guidance on ethical interactions and relationships with health care professionals," and encourage companies that adopt the Code to submit a "biennial certification" that they have adopted it and run an effective compliance program. That is a company certification, not a rep one, but a Code course with a scored quiz and a 24-month certificate keeps rep renewals on a two-year cycle and in the same report as product training.
How do you train hospital customers and distributors on device use?
One organization per customer or distributor
Create an organization for each hospital system or distributor and give their educators or training leads manager access. These are organizations inside your LMS Advisor site, not separate branded portals, and multi-tenant setup is still limited, so confirm in a demo how tightly a hospital's managers can be scoped to their own people. Staff without a corporate identity provider can sign in with a one-time code by SMS or WhatsApp, and the iOS and Android app works on a phone at the bedside or in the service van. A service engineer can save video, audio and document lessons before a visit to a site with poor reception, while quizzes and exams need a connection. Course and lesson translations cover distributors outside the US. Our customer training page shows the setup.
Certificates a hospital can verify
Every certificate we issue has a public verification page, so a hospital educator or a distributor manager can confirm that a named person holds a current in-service certificate. The certificates and compliance features cover the designer and expiry rules. If you need a device model, serial range or accreditation number printed on the certificate, check that field in a demo before you commit. Our guide on how to verify a training certificate online compares PDFs, verification pages and badges.
AdvaMed's 2022 revision added "a framework of best practices for companies when hosting company-conducted training and educational programs." Have compliance review your customer training events against it. We are not an accredited CE provider, so do not promise nursing or CME credit for these courses unless an accredited partner awards it.
Charging for training through WooCommerce
There is no native checkout. Paid courses sell through our WooCommerce plugin with token sign-on from your store. If you want a storefront built into the LMS, a vendor with native e-commerce is simpler.

LMS Advisor: best overall for product, rep and customer training. Launch courses, proctored rep certification and customer in-services with certificates that expire and verify online, in the cloud or self-hosted, beside your eQMS rather than in place of it.
Greenlight Guru: best for controlled QMS training at medtech startups. As of September 2026 it says "Training requirements can be automatically triggered by new or revised SOPs and QMS documents" and that records "capture Part 11-compliant electronic signatures."
Qualio: best for life sciences teams that want training tied to document changes. As of September 2026 Qualio says "When a record changes, affected training assignments update automatically" and claims "Part 11- and Annex 11-compliant e-signatures."
MasterControl: best for larger device makers already on its QMS. As of September 2026 its ISO 13485 page says it automates "the assignment of tasks, distribution of training materials, testing, and verification," and its training software page says it "automates all training tasks, from routing and tracking to follow-up and escalation."
Veeva Training: best for companies standardized on Veeva Vault. As of September 2026 Veeva says training "is unified with QualityDocs, ensuring access to source content and automating re-training based on changes," with role-based training matrices, and its MedTech page promises "centralized training records and a single audit trail."
ISOtrain: best for employee training linked to a document system. As of September 2026 it says it integrates with document management systems and supports classroom, self-paced and on-the-job training.
LearnWiseGo: best for selling device education through a branded storefront. As of September 2026 it markets an "FDA and MDR-compliant LMS and e-commerce platform for medical device companies" and hospital credentialing courses such as bloodborne pathogens.
How to run medical device training in LMS Advisor
- Split the tracks. Write down which records stay in the eQMS and which live in the LMS, and get QA to sign that split.
- Build the structure. Create organizations for internal teams, distributors and hospital customers, groups for reps, clinical specialists and service engineers, and scoped manager roles.
- Connect identity. Set up SAML 2.0 SSO and SCIM 2.0 for employees, and phone one-time-code login for customer and distributor staff.
- Build courses. Upload IFUs and procedure PDFs, record demonstrations in Recording Studio, add interactive video and required blocks, and import any SCORM, xAPI or cmi5 packages you already own. AI drafting is optional, and drafts are never auto-published, so regulatory and clinical reviewers see everything first.
- Set exams. Build question pools with image hotspot items, set pass marks and turn on proctoring for certification exams.
- Assign and set renewal. Assign courses to organizations with due dates and mandatory flags, and set course certificate validity in months for annual or biennial cycles.
- Route records. Send completion and certificate-issued webhooks, or pull results through the REST API, into your eQMS, CRM or HR system. Export CSV, Excel or PDF reports for audits.
Want to see it with your own device? Request a demo of a proctored rep exam, a distributor organization and a verifiable customer certificate.
A 30/60/90 day rollout checklist
- Days 1 to 30. Split training into QMS, commercial and customer tracks, list the records that must stay in the eQMS, document competence and the effectiveness check per role, and risk-assess any LMS use that touches QMS records under clause 4.1.6.
- Days 31 to 60. Build product courses with interactive video and hotspot questions, set proctored rep exams with pass marks, and create organizations for pilot distributors and hospitals.
- Days 61 to 90. Turn on course certificate validity periods, route completions to the eQMS or CRM by webhook or API, and test the round trip with QA.
Where LMS Advisor is not the right fit
- You want one validated system for every QMS record. We provide no validation package and no Part 11 electronic signature manifestation. Choose an eQMS training module or a vendor-validated LMS.
- You need retraining triggered by document control. We do not retrain automatically when a procedure revision is released, and we have no training matrix or competency framework.
- You need a content library. There are no ready-made QMS, ISO 13485 or hospital credentialing courses. Bring your own content or license SCORM packages.
- You need hospital vendor credentialing or CE accreditation. We are not a credentialing service or an accredited CE provider.
- You want a native storefront or a Salesforce connector. Selling runs through WooCommerce, CRM sync covers only HubSpot and Zoho CRM, and other CRMs connect through the API and webhooks.
- You need exam certificates that renew on a retake. Exam certificates can carry a validity, but renewal by retaking is built around course certificates.
Frequently asked questions
What is the best training software for medical device companies?
For product education, rep certification and customer training, LMS Advisor is our top pick, with proctored exams, separate customer organizations and verifiable, expiring course certificates. For controlled QMS training records with electronic signatures, pair it with an eQMS module such as Greenlight Guru, Qualio or MasterControl.
Did QMSR remove the 820.25 training requirement?
It removed the section, not the obligation. Since February 2, 2026, Part 820 requires a QMS that meets ISO 13485, and clause 6.2 of that standard is where competence, training and training records now sit.
Does ISO 13485 require validating our LMS?
Yes, if it holds QMS records. Clause 4.1.6 requires validation of software used in the QMS, proportionate to risk, before first use and after relevant changes. If the LMS only delivers training and the record lives in your eQMS, your risk assessment will reflect that smaller role.
Can LMS Advisor train hospital customers on our devices?
Yes. In LMS Advisor each hospital or distributor can be its own organization inside your site, staff can sign in by phone one-time code, and course certificates can expire and be checked on a public verification page.
Can reps be certified before covering cases?
Yes. Run a proctored Test Center exam with pools, pass marks and hotspot questions, and issue a certificate on a pass. Exam certificates can carry a validity too, but a course with a 12-month certificate suits annual refreshers best.
Is LMS Advisor Part 11 compliant?
No. We do not market it as Part 11 compliant or validated, and it does not apply electronic signatures to training records. If you use it for records required by a predicate rule, your QA team must assess and validate that use.
Can we sell device training courses to customers?
Yes, through WooCommerce. There is no native checkout, so paid courses are sold in a WooCommerce store and learners reach the LMS through token sign-on.
