HVAC technician training software is the system a contractor uses to onboard new techs, teach its own service procedures, test skill before anyone runs calls alone and keep a dated record for every technician. This guide is for training and service managers at HVAC service companies with 25 or more technicians, including private equity platforms folding acquired brands into one standard. It covers the rules behind technician training in 2026, when you need a content library versus an LMS, a 90-day onboarding plan, an A2L rollout, NATE prep and multi-branch setup. What does HVAC technician training have to cover in 2026?

Hiring pressure is the backdrop. The BLS Occupational Outlook Handbook counts about 440,900 HVAC mechanic and installer jobs in 2025, projects 11 percent growth from 2025 to 2035 and expects about 40,600 openings each year. Four areas carry rules or records you will be asked about.

EPA 608 status and apprentice supervision

Under 40 CFR 82.161, anyone who could reasonably be expected to violate the integrity of the refrigerant circuit must pass a certification exam: Type I for small appliances, Type II for medium, high or very high pressure appliances, Type III for low pressure, or Universal. Certified technicians keep a copy of their certificate at their place of business until three years after they stop working as a technician.

Apprentices are the exception that trips companies up. They are exempt only while a certified technician closely and continually supervises them, and 40 CFR 82.152 limits "apprentice" to someone currently registered with the Department of Labor's Office of Apprenticeship or a recognized State Apprenticeship Council. An unregistered helper does not get that exemption. EPA's Section 608 Q&A also bars selling refrigerant for use in an appliance unless the buyer is, or employs, a certified technician. Only EPA-approved certifying programs can certify technicians, so your LMS teaches and tests, and the card comes from one of those programs.

A2L refrigerant handling after the 700 GWP limit

EPA's Technology Transitions restrictions set a 700 GWP limit for residential and light commercial AC and heat pumps manufactured or imported from January 1, 2025, which moves new equipment to A2L refrigerants such as R-454B and R-32. A final rule published May 26, 2026 removed the installation deadline for systems built from components made before that date, and its preamble records concern about shortages of technicians trained on flammable refrigerants such as A2Ls.

What the rules do not include matters just as much. We have not found a federal rule that requires separate A2L technician training. Trane's April 2025 A2L guide recommends safe-handling training, says technicians continue under their existing 608 certification and notes that EPA may make training a requirement in the future. So A2L training is a company decision today (check state and local rules too), which is why the record of who was trained, on what and when is worth keeping.

NATE prep and the 16-hour recertification cycle

NATE is an industry certification, and some contractors use it as the bar for senior techs. Per NATE's recertification FAQs, a tech passes a Core exam plus a Specialty exam, then recertifies every two years with 16 continuing education hours or by retaking the specialty exam. Courses from NATE-Recognized Training Providers reach NATE on a roster. Other certificates are submitted by the technician for manual review. NATE exams themselves run in person or through remote live online proctoring, not inside your LMS.

Rooftop fall protection and other safety records

Commercial service means rooftop units. For construction work, such as installing new rooftop equipment, 29 CFR 1926.503 requires fall hazard training and a written certification record with the employee, the training dates and the signature of the trainer or employer, plus retraining when earlier training becomes obsolete. Routine service usually falls under general industry rules, where 29 CFR 1910.30 requires fall hazard training by a qualified person. Do you need a content library, an SOP tool or an LMS?

Most HVAC training software listicles are written by vendors ranking themselves first, and they mix three kinds of product. Facts below come from each vendor's public pages as of September 2026.

Content libraries: Interplay Learning and SkillCat

Interplay Learning teaches HVAC through 3D simulation with a VR headset option and lists NATE prep, EPA 608 readiness, HVAC Excellence, OSHA 10 and 30 and IACET CEUs across 80+ courses. SkillCat is a mobile app with 400+ hours of content, self-proctored exams, Spanish options and business dashboards. A library is the fastest way to cover general theory. It does not know your truck stock, your call flow or how your senior techs commission a system.

SOP and onboarding tools: Trainual

Trainual's own HVAC listicle (January 2, 2026) names Trainual best overall, and the product describes itself as a centralized, searchable system for every SOP, policy and process, with an HVAC and plumbing onboarding template. For a small shop writing things down for the first time, that is often enough.

Training inside field service software: ServiceTitan Field Pro

ServiceTitan's May 2026 list ranks its own Field Pro first, describing it as turning daily service visits into learning opportunities with job recording and review, Atlas AI troubleshooting and pre-job briefings. It is a field service platform, and the same article points readers to HVAC School, Interplay, ESCO, SkillCat and Vector Solutions for formal training.

A training LMS for your own courses and exams

An LMS turns your company's way of working into courses, assignments, exams and certificates, with records by branch. A common setup runs a library and an LMS side by side: the library covers theory, the LMS covers your procedures and holds the proof. Our platform imports SCORM 1.2, SCORM 2004, xAPI and cmi5, so licensed content can sit in the same assignments when the vendor supplies packages and your license allows it.

How do you build a 90-day onboarding program for green techs?

There is no federal onboarding rule for HVAC techs, so the length is a business choice. We usually plan around 90 days and end with a proctored sign-off. Here is the sequence we would set up:

  1. Week 1: safety orientation, PPE, ladder and roof access, electrical safety and your company standards for arriving at a home.
  2. Weeks 2 to 3: tools, gauges and truck stock, your field service app, and how to present options to a homeowner.
  3. Weeks 3 to 8: core procedures in the order a new tech meets them: maintenance visits, no-cool and no-heat diagnostics, capacitor and contactor replacement.
  4. Weeks 6 to 10: refrigerant handling, 608 prep if needed, and your company A2L course.
  5. Weeks 10 to 12: a proctored sign-off exam and a lead-tech ride review before solo calls.

Week 1: safety and company standards

Assign the week 1 course with a due date and a mandatory flag so it lands on the overdue report if it slips. Keep lessons short enough to finish on a phone between ride-alongs.

Ride-along videos with interactive checks

Your best service tech is your curriculum. The Recording Studio captures camera, screen, screen plus camera or a whiteboard, so a lead tech can film a heat pump defrost check or sketch a refrigerant circuit and save it to the Media Library for reuse across brands. Then add timestamped questions and chapters with interactive video. When a tech answers wrong, rewind-on-wrong sends them back to the segment that explains it.

Gated progression and minimum lesson time

Drip scheduling releases lessons by days after enrollment, sequential progression stops skipping ahead, and a lesson minimum time stops a 20-minute video being "completed" in two. In interactive modules, required blocks and scored knowledge checks gate the next step. The courses for weeks 1 to 8 can sit in a learning path, but exams cannot be part of a path, so assign the sign-off separately.

A proctored sign-off before solo calls

The Test Center runs the sign-off with native proctoring configured for that exam: webcam snapshots, AI face monitoring, fullscreen lockdown, logged tab switching, ID photo capture and device lock. Question pools can give two techs at the same branch different questions. Image hotspot items suit HVAC: show a condensing unit and ask the tech to click the suction service valve, or show a wiring diagram and ask which terminal feeds the contactor coil. How do you roll out A2L training across every branch?

Because A2L training is a company decision rather than a federal card, the job is to pick a standard, deliver it everywhere and keep proof. Our post on A2L refrigerant training requirements covers the rules in more detail.

A company A2L course alongside third-party training

Several outside programs exist. ACCA's A2L Refrigerant Safety Training is an on-demand course of five modules with quizzes, in English and Spanish, focused on low-rise residential work. ESCO Institute's low GWP refrigerant program has a 50-question closed-book exam, and ESCO says the exam validates safe-handling knowledge and helps reduce liability. A short company course on top can cover your own equipment brands, leak detection sensors, recovery practice and what to do on a job. Build that course with required blocks so nobody skips the safety sections.

A knowledge exam with hotspot items on service ports and sensors

A2L equipment has visible cues, such as the red-marked service ports in EPA's SNAP use conditions and the refrigerant detection sensors that, per Trane, UL 60335-2-40 requires on ducted systems with more than 3.91 lbs of A2L charge. Hotspot questions on photos of your own installs test whether a tech recognizes them. Run the exam in the Test Center with proctoring so the result means something when a GC or a customer asks.

Refresher cycles through course certificate expiry

Give the A2L course certificate a validity in months. It shows an expiring-soon status 30 days before it lapses, an automation can email the tech, and they renew by retaking the course. Exam certificates do not expire, so tie the refresher cycle to the course certificate. Keep ACCA or ESCO certificates with your HR records, or confirm in a demo how you want them handled.

How do you prep techs for NATE without honor-system tests?

Unsupervised online quizzes say little about who is ready for NATE. The Test Center runs practice and company exams only, and the NATE exam itself happens through NATE's own testing options.

Practice exams from question pools

Build a question bank tagged by topic and difficulty, then draw practice exams from pools so each attempt differs. AI question generation can draft items from your course content, but a senior tech approves every item, since AI drafts are never auto-published.

Proctored mock exams

A mock exam under your sign-off's proctoring settings shows who is ready to book the real thing. You can switch on negative marking for exam questions to discourage guessing.

Keeping CEH-eligible courses straight

The platform does not submit rosters to NATE or keep a CE-hour ledger. If your courses are not from a NATE-Recognized Training Provider, techs submit their own certificates for manual review, so check in a demo that your course certificate shows the details they will need, such as course title, hours and completion date.

Branches, organizations and manager views

Make each brand or location a branch or organization, then use groups for installers, service techs, maintenance techs and CSRs. Branch managers see their own people and overdue items, and the platform team reports across everything with CSV, Excel or PDF exports. Enterprise management covers roles and permissions. The leaderboard is platform-wide, not per branch.

SSO and SCIM for the office, phone login for techs

Office staff sign in through SAML 2.0 SSO, and SCIM 2.0 creates and removes accounts from your identity provider. Techs without company email sign in with a one-time code sent by SMS or WhatsApp. Email automations nudge anyone who never started, stalled or stopped logging in. There are no due-date reminder emails, so the overdue report is the manager's main tool.

Spanish lessons and the mobile app
